In February 2017 we made a huge improvement to our data import system

available on the Web Platform. 

Campaigns Management let sales admins to plan and execute sales campaigns and track results. 

It was designed and developed in four months and released in October 2017.

The import feature (only available on the web platform) let users to upload huge amounts of data (sales opportunities, people & companies information) from spreadsheet files and transform data into people, companies and deals entities in Sellf.

  • calls and emails from our customers that could not understand how to map their spreadsheet’s column to Sellf fields. 
  • no feedback of what went wrong during the importing process; 
  • creation of duplicated records.

In the latest step of the import process, the user has to tell Sellf how to proceed to merge data, in order to avoid duplicates. 

He needs to choose one or more fields that will be used as identifiers to merge data. (Name, Last Name, phone numers etc.) 


Initially I thought to give the user the choice: 

"Update data" or "Create new records". 

We received feedback that this step was

unnecessary: when the user doesn't select identifiers, new records will be created automatically. 

We decided to add a "preview" page before completing the process, instead.

Preview of how data will be imported:

this gives the user full visibility into the import process and ensures data is imported exactly the way the user wants it. 

Sellf already recognizes the headers in the spreadsheets and maps them for the customers. 

Visual feedback:  

If the imported column headers match the field values in Sellf, then the respective titles are automatically selected and the boxes will be green. 

A green box means you made a correct link, while a grey box means the column won’t be imported into Sellf.

Errors displayed allow the user to discover and fix issues during import rather than after it. 

If you have columns that do not match these Sellf fields, you can set up your custom fields. In the first release you had to set up custom fields before the import process, and people were too frustrated to discover this only at this step. 

We eventually put this feature inline, while you’re mapping fields and you find out that you need a custom field.

Help guide and feedback

After designing wireframes, I wrote the help article (Italian/English) to be published on our Uservoice page 

and I'm collecting feedback from customers about the new Import System. 

MORE STUFF

The import process still needs to be improved, since we added custom fields things got complicated and the customers often fail to map them. They usually don't read the guide provided. 

There are still failed imports, we need to provide more feedback about rows that may have problems and are not imported and tell the user exactly why there is a problem.
